These terms govern your use of the hosted Field-to-Bid service at fieldtobid.com. By creating a workspace you accept them. If you are accepting on behalf of a company, you confirm you are authorised to bind that company.
The service
Field-to-Bid turns a recorded site walkthrough and photographs into a draft construction estimate, which you review, correct, and issue under your own name. It is a drafting tool. It does not act as an estimator, a quantity surveyor, an engineer, or a professional adviser of any kind.
Estimates are drafts, and the numbers are yours
Every figure the service generates must be checked by a competent person before it is relied on. Generated takeoffs are produced by AI models that make mistakes: they can misread a photograph, mishear a recording, omit scope that was mentioned, invent scope that was not, and apply the wrong unit or the wrong rate. That is why every field in the product is editable and every total is traceable to the line items behind it.
A bid you send to a client is your document, issued on your letterhead, under your professional judgement, and at your commercial risk. We accept no responsibility for an underbid, an overbid, an omission, a rejected tender, a loss of margin, or any other consequence of a figure the service produced. If that allocation of risk is not acceptable to you, do not use the service.
Early access
The service is in early access and provided free of charge. It is offered as-is: features may change or be withdrawn, and availability is not guaranteed. Reasonable notice will be given to the email on your account before the service begins charging, and before any change that would remove access to your existing estimates.
Your account
You are responsible for the security of your credentials and for activity under your workspace. One workspace is intended for one contracting business. Tell us promptly at support@fieldtobid.com if you believe your account has been accessed by someone else.
Your content
Your recordings, photographs, estimates, and client details remain yours. You grant only the permission needed to operate the service: storing that content, and transmitting it to the AI providers described in the Privacy Policy so a takeoff can be generated.
You confirm you have the right to upload what you upload, including any permission needed to photograph a site and to record on it.
Acceptable use
- Do not use the service unlawfully, or to store unlawful content.
- Do not attempt to access another workspace, probe the service's security without permission, or disrupt its operation.
- Do not resell access to the hosted service. A licence to run the source yourself is available separately.
Accounts may be suspended for breach of these terms, with notice where it is practical to give it.
Fair use of generation
Each workspace carries a monthly generation allowance. It is a fair-use threshold rather than a hard gate: passing it flags the workspace for review rather than interrupting work mid-job. Sustained use far beyond it may be discussed with you or rate-limited.
Third-party services
The service depends on Supabase, Cloudflare, and AI providers. Their outages are outside our control. Where you supply your own provider key, your relationship with that provider is governed by your agreement with them.
No warranty
The service is provided “as is” and “as available”, without warranty of any kind, express or implied, including fitness for a particular purpose and accuracy of output. Its availability is not guaranteed and its output is not warranted to be correct.
Limitation of liability
To the fullest extent permitted by law, we are not liable for indirect, incidental, special, consequential, or punitive damages, nor for lost profits, lost contracts, lost margin, or lost data. Our total aggregate liability arising from the service is limited to the greater of the fees you paid for it in the twelve months before the claim, or one hundred United States dollars. Nothing here excludes liability that cannot lawfully be excluded.
Termination
You may stop using the service at any time and request deletion of your workspace as described in the Privacy Policy. We may terminate an account for material breach of these terms, or on reasonable notice if the service is discontinued — in which case you will be given a period to export your estimates.
Changes to these terms
These terms may be updated. Material changes will be notified to the email on your account before taking effect, and the date at the head of this page reflects the current version.
